Record keeping is evolving every day. What used to fill filing cabinets is now stored on your computer, large and small. The only problem with this is that there should still be files, as there is none of these things is totally secure electronic records storage. This is a great way to go and can help keep things organized and easy to pull, but it can also be deleted very easily. Accidents can happen and mistakes, and don't want to lose everything you have in a jiffy.
If you have a small amount of information on your computer that you don't want to lose, you can use the storage capacity of typical electronic records. If you work for yourself at home, for example, you can easily insert everything you need on your machine. However, you should not solely rely on your computer for archiving electronic documents. You should have at least two forms of backup. You can have a zip drive, through which you can store information, as well as put on a CD at least once a week.
If you have a small business, you can have a bit more your machine can handle in the way of archiving electronic records. However, it is not always the case. You can only get a computer that has more storage space and works faster. Most of them with a small company may not have much luck with the PC or MAC that one would use at home. Use backups themselves as those who work at home would be used for archiving of electronic documents.
When they are away from home to work or out on a journey for your company, you can use the personal computer for momentary electronic records storage. You want to get information on the disk or CD. You must have a way to get things to your employer, if the files are too large to send through any e-mail server. There are sites that provide temporary storage of electronic records that can be used to send large files from you to those who need to see what you have.
No matter how careful you are with the storage of electronic records, there is one thing that you should always have. No matter how many posts you have your information stored, you should think about having things printed and stored. These should be things that you can't be without through the life of your business. Some things can go without this type of storage, but it is a good way to back up any type of electronic record storage so you know that you have what you need, when you need it most. If you have too much, watch for offsite records storage if you run out of space.
